Booking rules

How LogicWeft Salon decides which times clients can book online, and the settings that change it: slot interval, lead time, horizon, buffers and the "Anyone" rule.

The times a client sees on the booking page are worked out from your salon's real day. You don't publish slots by hand: change an hour, a break or a booking, and the times change with it.

What makes a time free

A start time is offered when all of these are true:

  1. The salon is open. Business hours under LogicWeft Salon → Settings → General, minus closures and public holidays.
  2. A stylist who does the service is working. Their weekly hours, minus their break, leave and blocked time (see Services and stylists).
  3. That stylist is free for the whole service, including its buffers. Existing appointments, whether booked online, by phone or as walk-ins, all share the same timeline.
  4. The time is far enough ahead (the lead time) and not too far ahead (the horizon).
  5. Nothing is paused. Online booking isn't paused for the salon, the stylist or the service (see Run late and pause).

When a stylist is running late, the delay is taken off their free time straight away, so online clients can't book into it.

The settings

All under LogicWeft Salon → Settings → Booking.

SettingDefaultWhat it does
Slot interval (minutes)15Minutes between the start times offered: 9:00, 9:15, 9:30…
Lead time (minutes)60The earliest an online booking can start, counted from now.
Service and stylist lead timesOnA service's or stylist's own lead time is used instead of the salon's.
Booking horizon (days)60How far ahead clients can book.
Default service duration, buffer before and buffer after30, 0, 0Starting values for new services. Each service keeps its own.
New services bookable onlineOnStarting value for new services.
"Anyone" assignmentLeast booked that dayWho gets a booking when the client picks "Anyone".
Booking policyEmptyShown before the client confirms. When empty, a short general sentence is used.

Lead times on a service or a stylist are set on the service's product page and the stylist's profile. When a basket has several services with their own lead times, the longest one applies.

Buffers

A buffer before is set-up time and a buffer after is clean-up time. The stylist is busy during them, but the client's appointment doesn't include them, so a 45-minute cut with a 10-minute buffer after is shown to the client as 45 minutes and blocks 55 minutes of the stylist's day.

Several services in one booking

When a client books more than one service, they run back to back. The client sees one start time for the whole basket and when it finishes.

"Anyone"

"Anyone" is always the first choice on the booking page. For a single service, the stylist is picked by the rule in "Anyone" assignment:

RulePicks
Least booked that dayThe free stylist with the fewest appointments that day.
Take turnsEach free stylist in turn.
Most senior firstThe free stylist with the highest level (Director, then Senior, then Junior).

For a basket of several services, the stylists are the ones the time search found free for that start time.

Front desk bookings

The rules above are for online booking. At the front desk, receptionists can still add a booking on the calendar or seat a walk-in while online booking is paused, but the calendar checks every new or moved booking against the stylist's hours, breaks and other appointments before saving it. See Front desk.

Time zones

Hours are in your salon's time zone (set under General, or the site's time zone if left empty). Daylight saving changes move the clock, not your opening hours: a salon that opens at 9:00 still opens at 9:00 the day after the change.
