Front desk

For receptionists: run the day from the Today board, book on the calendar, manage walk-ins, look up clients, take payment and handle a stylist running late.

The front desk screens are for receptionists and owners. Most salons keep them open on a tablet at the counter.

Today

The Today board shows every appointment of the day as a card in four columns:

ColumnWho's in it
ConfirmedBooked and not here yet.
ArrivedChecked in and waiting.
In chairBeing seen, with a timer showing how long they've been in against the service's length.
Finished · to payDone and waiting to pay, then paid.

Each card has the time, the client, the services, the stylist and a tag for where the booking came from (Online, Phone or Walk-in). The button on the card moves it on:

At the top, five tiles: Sales so far, Appointments (and how many are done), In chair, Needs attention (late arrivals and unpaid tickets) and Online today (bookings that came in online today).

When a new online booking comes in, a notice slides in with View and Dismiss, and a chime plays if New booking sound is on (Settings → Operator App).

Calendar

A day or week view with a column for each stylist, showing their working hours, breaks, leave and blocked time. Previous, Next and Go to today move through the days.

  • Move a booking: drag it to another time or another stylist. The move is checked first: the stylist must be working, free, and not on a break or leave. If it doesn't fit, you're told why and nothing changes. A moved booking keeps its order and the client gets a reschedule email.
  • Add a booking: tap free time. Choose the booking type (Online, Phone or Walk-in), the service, and the client's phone number and name, then Save booking. The service has to be one the stylist does. A client is found by phone number, or created if they're new.

Front desk bookings aren't limited by the online lead time or by a paused booking page.

Walk-ins

The walk-in queue lists people waiting without a booking, with an estimated wait for each. The wait comes from the stylists' real timelines, including online bookings, plus the Wait estimate buffer from Settings → Operator App.

  • Add walk-in: name, phone, service and a preferred stylist, or "Anyone free".
  • Seat now: when a chair is free, books the walk-in in as an appointment with the free stylist and sends them a "Chair ready" email if their client card has an email address.
  • Remove: for someone who left.

Clients can also join the queue themselves by scanning the Join the queue QR code at the door (see The booking page). They appear in the list like any walk-in.

Don't use walk-ins? Turn off Walk-in queue under Settings → Operator App; the screen and the QR join page go away.

Clients

Search by phone number (part of it is enough), name or email, and open a client's card:

  • Preferences: preferred stylist, tags, and Allergies and contraindications. Press Edit to change them.
  • Visits: every appointment with date, services, stylist, price and status, newest first.
  • Formulas: free-text formula notes, such as a colour mix. Add formula for today adds one.
  • Notes: Add note and choose Staff only or Client can see it.

When a client has allergies on file, their card shows a red banner, and so does the stylist's My day while that client is in the chair.

Checkout

Open a finished appointment with Take payment on its Today card, or from the Checkout screen. The ticket lists the services, add-ons and any retail products the stylist added.

  1. Choose the Payment method (your counter methods: Cash, Card and UPI by default).
  2. Press Take payment. The WooCommerce order is marked paid with that method, and the card moves to Paid.
  3. Email receipt sends WooCommerce's invoice to the client; Print receipt prints from the browser.

The payment method is a label for your records and the day close; LogicWeft Salon doesn't connect to a card terminal.

Run late and pause

On the Run late & pause screen:

  • Running late: choose one stylist or everyone, then a delay (the buttons come from Run-late presets, 10, 15 and 30 minutes by default). Online clients can't book into the delay. Existing appointments stay where they are. Notify clients emails everyone booked with those stylists for the rest of today; you're told how many were told. Clear delay ends it. A delay lasts until the end of the day.
  • Pause all online booking: the booking page shows no times until you press Resume online booking.
  • Pause a stylist, service or add-on: takes it off the booking page. Add an Off until date to bring it back by itself (a stylist off sick until Friday, a machine being repaired), or leave it empty and press Resume yourself.

Pauses only affect online booking. You can still book, move and seat clients at the desk.

Still stuck? Email [email protected] and a real person will reply, usually within two working days.
