Emails
The emails LogicWeft Salon sends clients through WooCommerce, when each one goes out, and where to change their timing and wording.
LogicWeft Salon sends clients emails through WooCommerce, so they use your store's email template, sender and logo. The free plugin sends email only; it doesn't send SMS or WhatsApp messages.
The emails
All are on by default and go to the client.
| Sent when | |
|---|---|
| Booking confirmed | An appointment is confirmed: straight away for an online booking, or when the front desk books it by phone. |
| First reminder | 24 hours before the appointment. |
| Second reminder | 2 hours before the appointment. |
| Booking rescheduled | The appointment moves to a new time, by the client or on the calendar. It replaces the old reminders with new ones. |
| Booking cancelled | The client or the salon cancels. Its reminders are stopped. |
| Chair ready | The front desk seats a walk-in from the queue. |
| Running late | The front desk presses Notify clients after setting a stylist as running late. It says how many minutes. |
Emails go to the client's email address, or the booking order's billing email. A client who booked without an email address gets no emails: the phone number on the booking is for the salon to call.
Walk-ins get no confirmation or reminders; they're already at the desk. They get "Chair ready" when they're seated, if their client card has an email address.
Reminders are skipped when they no longer make sense: if the time has already passed when the booking is made, or the appointment has since been cancelled, moved, or the client has already arrived.
The confirmation and reminders carry a link to reschedule or cancel, which works while your cancellation window allows.
Timing
Under LogicWeft Salon → Settings → Notifications:
| Setting | Default | What it does |
|---|---|---|
| Messages sent | All on | Turn each email on or off. |
| First reminder (hours before) | 24 | 0 turns it off. Up to 336 (two weeks). |
| Second reminder (hours before) | 2 | 0 turns it off. |
| Sender name | Empty | Empty uses the salon name. |
| Quiet hours | 21:00 to 08:00 | A reminder that falls due in quiet hours waits until they end. |
| Send immediately | Off | Sends during the request instead of in the background. Leave it off unless your host's background tasks don't run. |
| Message log retention (days) | 90 | How long the record of sent messages is kept. |
Emails are sent in the background by WooCommerce's Action Scheduler, so a booking never waits for the mail server.
Wording
- Subject and heading: in WooCommerce → Settings → Emails, where each one is listed as "LogicWeft Salon: booking confirmed", "LogicWeft Salon: first reminder" and so on. You can also turn each email off there.
- Body text: in LogicWeft Salon → Settings → Notifications → Message text, one box per email.
Use merge fields to fill in the details:
| Field | Becomes |
|---|---|
{client_name} | The client's first name |
{service} | The services booked |
{staff} | The stylist |
{date} and {time} | The appointment's date and time, in the salon's time zone and the site's formats |
{where} | The salon's name and address |
{manage_url} | The link to reschedule or cancel |
Tip: The confirmation page and My Account offer "Add to calendar" (.ics and Google Calendar). Mention them in your confirmation text if your clients like calendar reminders.
Day close summary
When the owner closes the day, a summary of the day's appointments, sales and payments by method is emailed to the site's admin address (Settings → General → Administration Email Address in WordPress).
